About the Role

As a Dental Receptionist, your primary mission is to ensure a seamless and stress-free journey for our patients. You will manage the heart of the practice—the front desk—handling everything from high-volume scheduling to complex patient inquiries with a warm and professional demeanor. You will work closely with the clinical team to coordinate appointments, manage patient records, and ensure that the reception area remains a clean, welcoming space. Whether you are comforting a nervous patient or efficiently handling payments, your role is vital to the success of our daily operations.

Key Responsibilities

  • Patient Welcome: Greeting patients warmly upon arrival and ensuring all registration forms are accurately completed.

  • Appointment Management: Coordinating the practice diary, managing bookings, and handling cancellations or emergency walk-ins.

  • Communication: Answering phone calls and emails professionally, providing clear information regarding treatments and costs.

  • Administration: Maintaining up-to-date electronic patient records (EMR) and ensuring strict adherence to GDPR and patient confidentiality.

  • Financial Handling: Processing patient payments, discussing finance options, and managing daily reconciliations.

  • Collaboration: Working as a key link between the dentists, dental nurses, and patients to ensure efficient clinic flow.

Requirements and Skills

  • Communication: Exceptional verbal and written communication skills with a reassuring and polite telephone manner.

  • Experience: Ideally, you will have a background in a reception or administrative role, with a strong preference for candidates from dental or healthcare settings.

  • Attitude: A consistently positive “can-do” attitude and the ability to remain calm under pressure.

  • Technical Savvy: Comfort using computer systems; experience with dental software (such as SOE or R4) is a significant advantage.

  • Organization: Strong multitasking skills and a high level of attention to detail when managing records and schedules.
