Student Programme Administrator (Dubai) – Dubai Professional services – 102057 – Grade 5

University of Birmingham

Job Description

The University of Birmingham Dubai is seeking a Senior Student Administration Officer (Grade 5) to join its state-of-the-art campus. This is a 3-year renewable fixed-term contract offering a competitive salary in Dubai, UAE.

As the campus continues its rapid growth following the opening of the new facilities in 2021, this role is critical to the “Services and Support” thematic area. You will lead administrative processes that span the entire student lifecycle—from registration and visa processing to exam board management and graduation. Reporting to the Student & Programme Administration Office, you will supervise a team of officers, act as a technical expert on complex systems (like BANNER), and ensure a world-class experience for a diverse student body.

Key Responsibilities

  • Leadership & Supervision: Lead the day-to-day operations of the Student Administration team, supervising officers and acting as a role model for professional excellence.

  • Student Journey Management: Oversee the operational management of student records, including programme transfers, leaves of absence, and withdrawals.

  • Compliance & Visas: Manage the complex processes for obtaining and renewing student visas and IDs in the UAE.

  • Assessment & Graduation: Lead the administrative cycle for exams and assessments, including minute-taking for Exam Boards and organizing graduation activities.

  • Data Analysis: Compile and interpret large, complex datasets to produce institutional reports; familiarity with Power BI is a significant advantage.

  • Process Improvement: Proactively review and shape administrative procedures to increase efficiency as the campus scales.

Essential Requirements

  • Experience: Substantial administrative experience, ideally within a Higher Education or busy corporate environment.

  • Technical Proficiency: Essential experience using complex multi-user systems (e.g., student databases or finance systems).

  • Education: Minimum of GCSE Grade C in English and Maths, plus A-levels or equivalent Level 3 qualifications.

  • Soft Skills: Exceptional organizational ability, strong delegation skills, and the capacity to remain authoritative on complex regulatory procedures.

Professional Services Ethos

At the University of Birmingham Dubai, being a “Birmingham Professional” means more than just completing tasks. It involves:

  • Agility: Adapting to the changing needs of a growing campus.

  • Collaboration: Contributing to major campus events like Welcome Week or Graduation, regardless of your primary role.

  • Innovation: Proposing new ways of working and maintaining an entrepreneurial mindset to support the University’s vision.
