Position Overview:

We are seeking a proactive and detail-oriented Sales Support Specialist to serve as a key support function for our UK sales team. You will be a crucial link between Sales Representatives, customers, and internal operations teams, responsible for managing the entire cycle of administrative and support tasks from enquiry to customer onboarding. Your core objective is to enhance the sales team’s efficiency, ensure a seamless and professional service experience for customers, and thereby contribute to the company’s business growth in the UK market.

Key Responsibilities:

1. Pre-Sales & Quotation Support:
• Receive and perform initial processing of sales leads and customer enquiries from the website, email, and phone.
• Assist Sales Representatives in preparing accurate, competitive quotations, transport solutions, and presentation materials.
• Liaise with the Head Office and overseas agents to obtain and consolidate freight rates, space, and service information.
• Maintain and update internal rate systems and customer databases, ensuring accuracy and timeliness of information.

2. Customer Relationship & Contract Management:
• Prepare sales contracts, service agreements, and other relevant documentation.
• Assist in managing the customer account setup process, ensuring all necessary documents are complete and compliant.
• Act as one of the primary contacts for customers (prior to the post-sales stage), responding promptly to daily enquiries and providing initial solutions.
• Accurately input and update customer information, interaction records, and opportunity status within the Customer Relationship Management (CRM) system.

3. Sales Administration:
• Organise and prepare sales meetings, taking responsibility for writing and distributing minutes.
• Generate and analyse sales data reports, track key performance indicators (KPIs), and provide data insights to the sales team.
• Manage the sales team’s travel arrangements, expense claims, and other administrative needs.

4. Cross-Departmental Collaboration:
• Work closely with Operations, Customer Service, Finance, and overseas teams to ensure the smooth handover and execution of customer requirements.
• Coordinate internal resources during the initial phase of customer project implementation to ensure a smooth transition.

Qualifications:

Essential:
• Education & Experience: Minimum of 2 years of experience in a sales support, customer service, or administrative assistant role within the logistics, freight forwarding, or a related industry.
• Industry Knowledge: Familiarity with fundamental international logistics processes and terminology (e.g., Incoterms, HS Codes, sea/air freight processes).
• Communication Skills: Excellent verbal and written communication skills in English, with the ability to interact professionally and clearly with internal and external customers.
• Organisational Skills: Exceptional organisational and multitasking abilities, capable of prioritising tasks and meeting deadlines in a fast-paced environment.
• Teamwork: Strong team player with a service-oriented mindset.
• Technical Skills: Proficiency in the Microsoft Office suite, particularly Word, Excel, and PowerPoint.

Preferred:
• Experience using mainstream CRM systems (e.g., Salesforce, HubSpot).
• Proficiency in Chinese.
• Basic understanding of UK import/export regulations and customs procedures.
