An exciting opportunity has arisen to join our College of Arts & Humanities team as an Administrator and Personal Assistant. This is an excellent opportunity for an experienced and adaptable team player, to join a vibrant and dynamic team. The role is highly varied and will include providing operational support
to the Head of College Student Services, other Service leads, and the Deans in the College. The role will also involve providing occasional cover for other areas College and our academic schoolsJob Purpose
To provide effective and efficient administration and PA support for a range of colleagues and to support the effective running of the College of Arts & Humanities Student Services.
You will provide high quality administrative support to academic staff with senior College roles. You will work directly to the College Head of Student Services and Head of Academic and Student Administration and Teams, but may be deployed across the College to meet operational need.
As a progressive and constantly evolving institution, the University implements new systems and adopts new ways of working, and over time the role holder can expect to be deployed in a variety of areas of the College to cover business needs. This will provide the role holder with the opportunity to acquire a variety of skills and experience.
Main Duties and Responsibilities
1. To provide PA support and first point of contact for senior academic and professional services leads in the College and effectively communicate between senior staff and other colleagues and stakeholders, including students.
2. To provide support for the successful planning and delivery of events.
3. To provide the full range of administrative support for committees, informal forums and project groups.
4. To provide general administrative support for routine University and College processes and business, using relevant on-line systems.
5. To participate, as appropriate, in relevant groups and networks, both internally and externally, to build effective working relationships to enable effective internal communication.
6. To provide an excellent administrative service to roleholders and (where appropriate) students in the College; and to contribute to adapting service standards to ensure continuous improvement.
7. To be committed to the University’s Equal Opportunities and Diversity Policy, together with an understanding of how it operates within the responsibilities of the post.
8. To represent the College in, and support the delivery of, graduation ceremonies as required.
9. To contribute to ensuring a healthy and safe working environment.
10. Any other duties appropriate to the grade as may be assigned by the Line Manager.
Knowledge, Qualifications, Skills and Experience
Knowledge/ Qualifications
Essential:
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Or: HNC, VQ3, Higher Grades or equivalent, and experience of personal development in a similar role.
Skills
Essential:
C1 Excellent communication skills, the ability to effectively liaise with colleagues and other stakeholders; and a clear understanding of the importance of customer service.
C2 Excellent written communication skills and the ability to write formal committee minutes as well as other informal communications.
C3 High-level numeracy and the ability to effectively complete routine financial transactions and to source and understand standard data sets.
C4 Excellent IT skills and the aptitude to develop a good working knowledge, as required, of specialist software as required.
Desirable:
D1 Experience of working in an educational setting.
D2 Project support skills.
Experience
Essential:
E1 Significant experience in a relevant role with evidence of progression and development gained from relevant work experience.
E2 Experience of providing an administrative service to a variety of different role-holders.
E3 Experience of drafting formal communications or minutes.
Terms and Conditions
Salary will be Grade 5, £27,319 – £31,236 per annum.
This post is full time (35 hours per week) and open ended (permanent).
