Our associate is a long-standing firm located in the heart of Reading seeking a part-time Front Desk Coordinator. This opening arises due to a staff retirement and represents a wonderful opportunity within a pleasant corporate environment. The schedule involves working every Thursday and Friday from 8:30 am to 5:30 pm.
Purpose of the job:
To deliver:

A professional and welcoming greeting to the organization’s patrons and guests.

Effective and personable management of the central switchboard.

Supplemental support for fellow Front Desk and Office Services staff during their absences.
Key results:
To assist in the seamless, uninterrupted functionality of front-of-house, telecommunications, and office infrastructure in support of the wider workforce.
Main duties and responsibilities:

Competent management of the lobby desk, ensuring guests are received warmly and directed to the relevant department immediately.

Attending to guests in the waiting area and helping to maintain a clean, professional appearance in the entrance hall.

Productive oversight of the phone system, routing calls to the right personnel and ensuring message notifications are sent via email promptly.

Supplying backup support for other office services team members as needed, particularly during annual leave or illness.

Systematic handling of the voicemail system and the quick distribution of all relevant recordings.

Managing both incoming and outgoing electronic correspondence by directing it to the appropriate internal teams.

Ensuring all digital records and systems remain current.

Carrying out additional tasks associated with reception or facilities management as required.

Coordinating with the Office Services Manager regarding any issues arising from the aforementioned tasks.
