About the Role

As a Residential Admin Officer, you will manage the vital flow of information between prisoners, staff, and management. You will be responsible for the integrity of wing-based records, from updating risk assessments to managing the prisoner complaints process. Your work ensures that the establishment remains compliant with safety and equality standards, such as tracking BME figures and Cell Sharing Risk Assessments. This role requires a blend of clerical precision and strong communication skills, as you will act as a central point of contact for stakeholders and provide secretarial support for key operational meetings.

Key Responsibilities

  • Safety & Risk Support: Update the Cell Sharing Risk Assessment (CSRA) database and provide wing managers with current risk profiles to ensure safe cell occupancy.

  • Information Management: Manage wing notice boards, ensuring Notice to Prisoners and Staff Information Notices are current and removing expired documents.

  • Complaints Coordination: Log, allocate, and distribute prisoner complaints daily, tracking deadlines and sending reminders to ensure timely responses.

  • Equality Monitoring: Collate and update Black and Minority Ethnic (BME) figures weekly, returning data to the Equality Team to assist in maintaining fair establishment standards.

  • Financial & Logistical Support: Input requisitions onto the finance database and maintain accurate records of wing-specific equipment and supplies.

  • Secretarial Duties: Act as secretary for meetings, including drafting agendas, taking minutes, and tracking action points for the Head of Function.

Requirements & Skills

  • Organization: Ability to produce and maintain accurate records and prioritize a varied workload with strict deadlines.

  • Communication: Confidence in fulfilling all spoken aspects of the role in English (or Welsh where applicable) and serving as a professional contact point for the team.

  • IT Literacy: Competence in using finance and establishment databases, manual filing systems, and Microsoft Office tools.

  • Analytical Skills: Ability to conduct initial checks on paperwork and collate information relating to Service Delivery Indicators (SDIs).

  • Attention to Detail: Precision in updating weekly Personal Officer lists and managing risk assessment documentation.
