Administrative Support – Probation Service (Sheffield & Wakefield)

About the Role

In this position, you will manage the essential “paperwork” of justice. You will be responsible for keeping databases accurate, handling sensitive case files, and ensuring that referrals between offender management and external agencies run smoothly. Beyond data entry, you will be a key point of contact at reception, dealing with a diverse range of people—some of whom may be in distress or displaying challenging behaviour. Your ability to remain calm, firm, and fair is essential. This role offers flexible working hours, including a part-time option of 18.5 hours (2.5 days) per week.


Key Responsibilities

  • Data Management: Set up and maintain accurate records for people on probation and victims on approved databases (including specialized Visor tasks).

  • Operational Support: Prepare and collate case records, management information, and files to set standards.

  • Front-of-House: Provide an efficient reception and telephone service, acting as the first point of contact for enquiries.

  • Logistics: Make practical arrangements for Sentence Plans, such as setting appointments and issuing travel warrants or petty cash.

  • Meeting Support: Organize agendas and take minutes/action points for departmental meetings.

  • Pro-social Modelling: Consistently reinforce positive behaviour and attitudes when interacting with people on probation.

  • Safeguarding: Carry out duties in accordance with statutory responsibilities for safeguarding children and managing risk.
