About the Role

As a Case Administrator within HMP Berwyn, you are responsible for the smooth execution of administrative processes that support both staff and people on probation. Your work ensures that the Sentence Plan is implemented effectively through accurate data entry, appointment scheduling, and referral management. You will act as a central hub for information, coordinating with victims, interventions, and external providers. This role requires resilience and strong interpersonal skills, as you will frequently interact with individuals who may be in distress or crisis, requiring a firm but fair approach.


Key Responsibilities

  • Data Management: Setting up and maintaining accurate records for people on probation and victims on approved databases (including specialized systems like ViSOR).

  • Referral Coordination: Administering the flow of information between offender management and external agencies to ensure positive outcomes and risk management.

  • Case Support: Preparing and collating case files and management information to required standards.

  • Reception & Enquiries: Providing a professional first point of contact via telephone and reception services for the unit.

  • Practical Arrangements: Organizing appointments and directions for service users to ensure they can fulfill the requirements of their Sentence Plan.

  • Financial Administration: Managing petty cash, travel warrants, and vouchers in line with local financial procedures.

  • Meeting Support: Organizing agendas and taking minutes/action points for departmental meetings.

  • Safeguarding: Carrying out statutory duties regarding the safeguarding of children in accordance with agency policy.
