Admin Officer – HM Courts & Tribunals Service (HMCTS)

About the Role

As an Admin Officer, you are the engine room of the court system. You will work as part of a team to ensure cases progress smoothly through the legal process, providing vital support to the Judiciary and management. This is a high-responsibility, customer-facing role where you will be the first point of contact for court users, the legal profession, and other government agencies. Your work ensures that files are accurate, hearings are properly prepared, and court results are recorded correctly, maintaining the integrity of the justice system.

Key Responsibilities

  • Case Progression: Managing and updating court files to ensure all necessary paperwork is ready for hearings and meetings.

  • Data Integrity: Creating and accurately updating records on in-house computer systems and interpretating court information for “resulting” (recording the outcome of cases).

  • Compliance & Verification: Checking documents, accounts, and claims against strict regulations and procedures to ensure accuracy.

  • Information Management: Collecting and assembling data for warrants, statistical reports, and official statements.

  • Customer Service: Communicating clearly and professionally with the public, members of the Judiciary, and legal representatives by phone, email, and in person.

  • Administrative Support: Handling various office duties including file management, data input, and report generation.

Requirements & Skills

  • Communication: Excellent written and verbal communication skills with a friendly, approachable manner.

  • Organization: Proven ability to prioritize a varied workload, multi-task, and meet performance targets under pressure.

  • IT Proficiency: Comfortable adapting to various software packages and internal database systems.

  • Attention to Detail: Skilled in verifying complex documents and interpretating legal information accurately.

  • Public Service Focus: A proactive desire to help court users navigate a potentially life-changing justice system.

Working Arrangements & Benefits

  • Hours: Standard full-time hours are 37 hours per week. While the role is full-time, HMCTS offers a flexible approach to suit both individual and business needs.

  • Location: These are operational, customer-facing roles; successful applicants must be office-based to provide services to the public. Occasional travel to other courts may be required.

  • Pay: New recruits are expected to join at the band minimum.

  • Visa Requirements: This role is not eligible for new Skilled Worker visas. Applicants must already have the right to work in the UK.
